1. Who we are and what this policy covers

WeJot is operated by Zuoyou Cloud (Shenzhen) Network Co., Ltd. at the address below. This policy covers our international website and survey platform, including account services, survey creation, response collection, AI features and support. We decide how account, billing, security and website information is used. When an organization creates a survey or interview, that organization generally decides why respondent data is collected and how it is used; we process that content to provide the service on its behalf. Its own privacy notice also applies.

2. Information we process

Account and support information includes your email address, account profile, authentication records and messages you send us. Survey content includes questions, instructions, responses, uploaded files and reports. Technical records may include IP addresses, browser and device information, timestamps, error logs and activity needed to operate and secure the service. Where a feature provides location information, this may include an approximate location inferred from an IP address. Purchase records may include the plan, order identifier, amount, currency and transaction status; payment providers process payment credentials through their checkout.

3. AI features, voice and video

AI generation and analysis process the prompts, selected survey content, responses, attachments and conversation context needed for the requested feature. Relevant content can be sent to AI, speech, content-safety and sandbox providers and recorded in operational traces for troubleshooting. Providers and processing locations depend on the selected feature and service configuration. Do not submit sensitive or confidential material unless you are authorized to do so and the service is appropriate for that use.

Microphone or camera features require device permission. Interviews can process and retain audio, video, transcripts, captured images, responses and evaluation records when the feature collects them. We do not promise that original recordings are deleted immediately after transcription. Survey creators must explain what will be recorded, obtain required consent and offer appropriate participation choices. Browser permission does not replace a privacy notice or consent to the underlying research.

This policy does not grant permission to train general-purpose models on your content. Model-provider retention and training settings must be assessed for the provider actually used; contact us before submitting content that requires particular provider commitments.

4. Purposes and legal grounds

We process information to create and authenticate accounts, provide requested survey and AI functions, support collaboration, handle orders and support, prevent abuse, investigate failures and meet legal obligations. Where GDPR or similar rules apply, our grounds for the information we control may include performing our contract with you, complying with legal obligations, consent for optional tracking or specific recording activities, and legitimate interests in keeping the service secure and reliable, subject to your rights. Survey creators are responsible for the legal grounds and notices for their research.

5. Who receives information

Information is accessible to the survey creator and the team members or recipients they authorize. Service providers may process information to supply cloud hosting and object storage, databases, AI and speech services, logging, email, support and payment processing. We may disclose information where legally required or necessary to establish or defend legal rights, or in connection with a business transfer subject to applicable protections. Publishing or sharing a survey, report or file can make it accessible to people with the link; creators should review access settings and avoid publishing personal information unnecessarily.

6. Where information is processed

The international service stores data in Hong Kong. AI and other service providers may process information in other countries or regions. An English interface or an international account does not mean that information stays in your country, the EU or the United States.

Cross-border processing is subject to the laws that apply to the relevant activity. Where a transfer requires a specific legal mechanism or contractual safeguard, that arrangement must be established for the transfer; acceptance of this policy does not by itself establish it. Contact us about the locations and arrangements relevant to your intended use before uploading data subject to residency or transfer restrictions.

7. Retention and deletion

Retention depends on the purpose, type of record, account or survey status, creator instructions, security needs and applicable legal requirements. Account and survey records may be kept while the service is in use; order and compliance records may need to be retained after account closure. Logs, traces and backups have separate operational retention cycles, so deleting an item from the interface does not necessarily remove every copy immediately. We do not specify a universal deletion deadline that all systems cannot support.

Contact us to request account deletion or details about retention for a particular dataset. Respondents should normally contact the survey creator, who controls the research dataset; we can assist the creator with requests within our service.

8. Cookies and website analytics

We use cookies and browser storage for language preferences and to remember your privacy choices. Optional website analytics and campaign attribution are off until you choose to enable them. You can reject optional analytics or withdraw consent using Cookie settings in the footer. The Cookie Policy explains the current storage and choices. Necessary server requests and security logs still occur when you visit the site.

9. Your choices and rights

Depending on applicable law, you may request access, correction, deletion, a copy or portability of your information, restriction of processing, or object to certain uses. You may withdraw consent without affecting processing that was lawful before withdrawal. You can also complain to the competent data-protection authority, including in your place of residence where applicable.

Send requests to [email protected] with enough information for us to locate the relevant account or survey. We may need to verify your identity or refer a respondent request to the survey creator. We respond within the timeframe required by applicable law and explain any lawful limitation. Do not email passwords or unnecessary identity documents.

10. Children and sensitive information

Our account services are intended for adults. Survey creators must assess age restrictions, parental permission and additional rules before involving children or collecting sensitive information such as health, biometric or other specially protected data. Contact us before using the service for research that needs special safeguards.

11. Security and changes

We use access controls and operational safeguards to protect information, but no online system is entirely risk-free. Protect your credentials and review team access and public links. We update this policy when practices change and display the latest revision date. Where required, we provide additional notice or seek consent before a new use.
